Before you begin
- An admin account and access to integration settings.
- The school’s own approved payment-provider details.
On this page
Connect the school’s payment account
- Step 1. Open Settings → Integrations → Hubtel.
- Step 2. Enter the Payments credentials requested for the school: API ID, API key and merchant account number.
- Step 3. Save and submit the payment setup for approval. Review the status and any feedback shown.
- Step 4. Complete validation where offered and wait for approval before asking families to pay online.
- Step 5. Check that the Parent Portal or Payment ID flow shows online payment as available for the school.
Follow an online payment
A family chooses a pupil and bill, enters an amount, reviews its allocation and continues to the provider checkout. A pending or cancelled checkout is not a completed collection. Success must be confirmed and applied to the pupil’s account.
Investigate a pending or missing collection
- Step 1. Ask for the payment reference, amount, approximate time and the pupil involved.
- Step 2. Check recent online-payment intents or use the transaction-status check in the integration screen.
- Step 3. Compare the provider result, the fulfillment status and the pupil’s payment history.
- Step 4. If the outcome is still pending or the debit has not reached the pupil’s account, contact support with the reference. Avoid recording the same payment again while its status is uncertain.
Keep SMS and payment setup separate
Hubtel Payments and Hubtel SMS have separate credentials and settings. Saving SMS settings does not approve online fee payments. Where the school uses its own Hubtel SMS account, notification costs use that route rather than the School Fees SMS wallet.
