Check what must happen before release
These checks are separate. Paying fees does not approve a report, and approving a report does not close the term. A preview downloaded by staff is not evidence that a parent can open the report.
| Check | What it establishes |
|---|---|
| Prepared report | Required marks, ratings and report details exist. |
| Approval / official issue | The school’s required review has produced an official copy. |
| Closed term | The report period has been closed through the authorized workflow. |
| Fee-hold rule | The school permits release for this pupil’s fee position. |
| Guardian link | The parent account is linked to this child at this school. |
Review the closing preview and confirm
- Step 1. Open Academic Years and review term readiness for each class.
- Step 2. Resolve missing report requirements, then open the term-closing preview.
- Step 3. Review the release, fee-held and awaiting-approval counts. Use any offered approval action only if you are authorized and have reviewed those copies.
- Step 4. Check the next term and confirm closure.
- Step 5. Read the closure summary and test one intended family’s available report before notifying everyone.

Resolve a report that is still unavailable
- Step 1. Check whether the term is still open or the pupil is awaiting approval.
- Step 2. If fee-held, review Held Report Cards and the pupil’s actual balance in the connected fee workflow.
- Step 3. Record a genuine payment in School Fees when appropriate, or use an authorized report-release override with the required reason.
- Step 4. If there is no issued report, prepare and approve the official version.
- Step 5. Recheck the Parent Portal with the correct school, child and term.
